Administrative Assistant

Position Overview

Alter-Learning is seeking an organized, proactive, and detail-oriented Administrative Assistant to support day-to-day administrative operations, internal coordination, documentation, scheduling, and communication across the organization.

The ideal candidate will have strong organizational and communication skills, the ability to manage multiple priorities, and the confidence to work independently in a remote and fast-paced environment. This role involves working closely with company leadership, department leads, team members, and external contacts to help ensure that administrative activities are organized, documented, and completed efficiently.

This is a hands-on administrative position requiring reliability, discretion, attention to detail, and consistent follow-through. The Administrative Assistant will play an important role in supporting effective communication and coordination across Alter-Learning as the organization continues to grow.

Responsibilities

  • Provide day-to-day administrative support to company leadership, department leads, and team members.
  • Prepare meeting materials, take notes when required, document action items, and assist with follow-up.
  • Organize and maintain company documents, digital files, records, spreadsheets, and internal administrative materials.
  • Assist with preparing, formatting, reviewing, and organizing reports, presentations, correspondence, and other business documents.
  • Support internal and external email communication and ensure appropriate follow-up on requests and action items.
  • Track deadlines, meetings, assigned tasks, documentation requirements, and administrative requests.
  • Assist with maintaining accurate contact lists, company records, databases, and other internal information.
  • Coordinate administrative activities between departments and help ensure information is communicated to the appropriate team members.
  • Assist with onboarding and offboarding administration, including documentation, account coordination, and internal communications.
  • Support recruitment-related administration, including interview scheduling, candidate communication, and document organization when required.
  • Assist with organizing company meetings, presentations, internal initiatives, and special projects.
  • Conduct basic research and information gathering to support company projects and operational needs.
  • Maintain confidentiality and exercise discretion when handling company, personnel, partner, or other sensitive information.
  • Identify opportunities to improve administrative processes, documentation, organization, and internal workflows.
  • Support additional administrative and operational responsibilities as required.

Required Qualifications

  • Previous experience as an Administrative Assistant, Executive Assistant, Office Administrator, Operations Assistant, or in a related administrative role.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to accuracy.
  • Ability to manage multiple tasks, deadlines, and priorities simultaneously.
  • Ability to work independently and take ownership of assigned responsibilities.
  • Strong follow-up skills and ability to ensure tasks and requests are completed on time.
  • Experience working with digital documents, spreadsheets, calendars, email, and online collaboration tools.
  • Proficiency with Google Workspace, Microsoft Office, or similar productivity platforms.
  • Ability to learn and adapt quickly to new software, platforms, and internal processes.
  • Professional proficiency in English.
  • Ability to communicate professionally with company leadership, team members, candidates, partners, and external contacts.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
  • Ability to work effectively in a remote and internationally distributed environment.

Desired Skills

  • Experience supporting executives, senior leadership, or department heads.
  • Experience working within a startup, technology company, education company, or rapidly developing organization.
  • Experience working with remote and internationally distributed teams.
  • Familiarity with project management and task-management platforms.
  • Experience with Google Workspace, including Google Drive, Docs, Sheets, Slides, Calendar, and Gmail.
  • Experience preparing business reports, presentations, meeting documentation, and internal communications.
  • Experience supporting recruitment, HR, onboarding, or personnel administration.
  • Experience coordinating meetings across multiple departments and time zones.
  • Familiarity with document management and digital filing systems.
  • Experience developing or improving administrative workflows and internal processes.
  • Strong problem-solving skills and the ability to anticipate administrative needs.
  • Bachelor’s degree in Business Administration, Management, Communications, Human Resources, or a related field (or equivalent professional experience).

Compensation

Consultant shall be paid an hourly rate starting from $45 per hour, and such compensation shall be in the form of (ISO) and/or (NSO) Incentive Stock Options issued by the company, based on the agreement between the company and consultant.
